Front Desk Administrative Assistant

As our Front Desk Administrative Assistant, you will often be the first point of contact for our clients; welcoming them, supporting our internal team, and helping ensure our day-to-day operations run smoothly. From greeting clients to preparing statements and managing appointments, your work helps create peace of mind and reinforces the trust clients place in our firm.

Key responsibilities

  • Answer phone calls, respond to emails, and direct inquiries to the appropriate team members
  • Greet clients warmly and professionally, creating a welcoming and hospitable environment
  • Manage the office calendar and coordinate appointments for team members and clients
  • Assist in the preparation and delivery of client statements, invoices, and related correspondence
  • Process client payments and maintain accounts receivable records in QuickBooks
  • Support client onboarding by entering information across internal systems and applications
  • Maintain a clean, organized office environment and order supplies as needed
  • Organize and manage outgoing mail, certified deliveries, and physical document submissions
  • Provide administrative assistance to team members on various projects and needs
  • Deliver five-star customer service with a cheerful spirit, clear communication, and a servant-hearted mindset

Required qualifications

  • High school diploma or equivalent
  • Proficiency with Microsoft Office (especially Word and Excel)
  • Strong attention to detail, organization, and personal responsibility
  • Excellent communication skills — both written and verbal
  • A welcoming, professional presence and cheerful disposition

Preferred experience & skills

  • 6+ months experience in an administrative or front-desk role
  • Experience using QuickBooks or other accounting/admin software
  • Familiarity with creative design apps (e.g. Canva)
  • Familiarity with office scheduling systems and CRM platforms
  • Ability to multitask and prioritize in a fast-paced, service-driven environment
